I went in for my 5th dietician visit today and was getting ready to set up my next and final appointment with her before everything gets sent to the insurance for approval. She turns to look at me and says ok you only need 3 more visits WHAT! I know I haven't missed any appointments with her and I told her that. She then proceeded to dig through all the records on the computer. Looks like during their transition to the new computer system they lost my first visit with her. So she then went to check her billing records and said yep I have seen you 5 times. She told me not to worry about it and she would do what ever she had to so that it gets fixed but I am still panicking about this. What if I get denied because of this? Grrrrrrrrrrrrrrrrrrrrrrrrrrr

I wouldnt worry too much about it. She knows what's needed to submit for approval so when they submit it for you it should be correct. Probably worth a call to your surgeon's insurance coordinator and let her know to look to make sure all the visits are recorded and submitted. They want you approved, too, so they'll do what they need.
It's a normal feeling to worry (for me it was occasional panic, even), that something is going to go wrong and you wont get surgery. It is such a big life changing step and lots of people worry at some point or another that it wont really happen.

I agree with your frustration. It infuriates me when medical personnel set it wrong because so much is at stake. I am sure this will work out since they do have the billing records, at least. But didn't she keep notes? Seems odd.

All her notes were in the computer she didnt write any of it down except the list of what I was to work on that she gave me and lord only knows where that is.

Okay note to self....keep a file organizer with everything I am given to make sure this doesn't happen to me. Thank goodness you were keeping tract Stella! She should have kept a chart so she could keep tract herself.

I worried about things like this when i was going in for my 6 monthly visits but it all worked out in the end. Good luck and keep the faith.

That sucks! I can see where you would be very upset but maybe it will all turn out:) Worst case scenario is doing a longer supervised diet... which leaves a bad taste in the mouth but will go by fast. Good luck

Stella, has your insurance company been sending you EOBs from the visits with the dietitian? Or did you have to pay co-pays? If the office screwed up the records somehow, You might have some backup records if your insurance rejects you for not meeting the criteria.
Also, your surgeon is Dr. B, right? Talk to his secretary, Danette. I believe she's the one who compiles all the stuff for the insurance. Mention that there was a problem with the dietitian's records, and that you want to make sure that all the paperwork is straight before they submit it to insurance. That way, she's alerted to the fact that there's a problem.

We are already going to be hurting with the hubby taking time off work for this in march and its really the only time he can take off. So its either march or wait till next year and I just cant wait that long.

I had a similar experience with paperwork and being misplaced and such. It's frustrating. Your surgeon wants you to be approved though. So I wouldn't worry too much about it. Just breathe.
